How does the integration work?
Users are able to import/export records. The process is controlled by a collection of mappings you will set up beforehand. Importing is a bulk process that can take an hour or longer depending on the amount of records the user has in their Salesforce account. Exporting is done on a case-by-case basis when you are ready to move your contact/company out of GlassHive. This is usually done when an opportunity has been created/closed so you can start client onboarding via your line-of-business application.
This process is not automatic. Users need to click on import each time they would like records to be imported. To export from GlassHive into Salesforce, users will need to go into the specific company/contact profile page to be able to export the records. You cannot bulk export records.
How do I import records?
The import will be done under your account settings under the Salesforce integration. You must complete all the mapping in the following order: Connection ➡ Users ➡ Companies ➡ Contacts ➡ Opportunities ➡ Activities
1. To start the Sales Force integration first click the profile icon on the bottom left of the screen, then click "Account Settings"
2. Then click "Integrations"
3. Then select "Salesforce"
Follow the integration prompts to continue.
Note that this is not an automatically syncing integration, and every time you would like to do an import, you must go back to your account settings and click "Import" in the following order: Companies ➡ Contacts ➡ Opportunities ➡ Activities
This will ensure proper tying of information between your records. Doing so out of order will cause those records to not import or import incorrectly.
STEP 1: Save credentials
Add your credentials and ensure they are valid
STEP 2: Map and invite users
Import users by selecting role type. E.g. "No Types, Marketer, Salesperson,...". You must click on "Invite" under your account settings each time you want to invite new members from Salesforce. This will also link GlassHive users and Salesforce users that have the same email addresses for their accounts.
STEP 3: Map and import companies
Import companies by selecting company type E.g. " Prospects, No Type, Client,...". Unlinked companies will be linked if the following matches: Phone Number ➡ Website URL ➡ Name. This will prevent duplicates from entering GlassHive.
STEP 4: Map and import contacts
Import contacts by selecting contact status. Eg. "No Status, Talking,...". Existing contacts in GlassHive will be linked via Email address. This will prevent duplicates from entering GlassHive. After the contact has been imported, they will be placed in a list based on their company type.
STEP 5: Map and import opportunities
Opportunities will only be linked to the salesperson if the salesperson exists in both GlassHive and Salesforce. All opportunities will download with or without having a salesperson linked to the opportunity. The following properties will get updated:
Name
Status
Close Date
Lifetime Value
STEP 6: Map and import activities
Activities can only be mapped to Call, Email, Note, and Meeting. The activity will only get downloaded if the activity's contact already exists in GlassHive. If contact does not exist in GlassHive, the contact must get downloaded first. Only Activities created by a user linked in GlassHive will get imported.
How do I export records?
STEP 1: Go to the company/contact details page you'd like to export
Each export is done on a case-by-case basis. This is to allow minute control when updating external systems.
Go to the Companies (or Contacts) page and select the desired company you want to export to Salesforce. You can also find the company with the global search bar on the top right of your screen.
STEP 2: Click the "Send to Salesforce" button
This will open a widget to walk you through the export process for that company/contact. This will include exporting details, activities, and opportunities and the export method.
